Bookkeeper

(part time position; 20-25 hours/week)

Job Description

Overview

The Bookkeeper at Stoneham Theatre is responsible for the financial systems, including AP preparation and coding, mail sorting, payroll administration, weekly check distribution, monthly bank reconciliations, office equipment maintenance, and purchasing of supplies and general administrative tasks.

Accounts Payable

  1. Coding and processing vendor accounts and debit card charges into accounting system
  2. Assisting managing director to ensure weekly payment of vendors.
  3. Distributing vendor payments.
  4. Working with heads of all departments to ensure that they receive monthly departmental reports as required.
  5. Maintain an adequate filing system for A/P
  6. Serve as primary A/P contact for all vendor and contractor requests, questions and changes of information
  7. Maintain files for contractors and vendors I9s and W9s
  8. Preparation and distribution of 1099s

Banking           

  1. Ensuring accuracy of cash disbursement log.
  2. Entering weekly income reports and other journal entries prepared by managing director.
  3. Monitoring weekly on-line ticket sales report.
  4. Monitor checking account for debit card transactions and ensure appropriate documentation of said transactions
  5. Preparing monthly bank reconciliations.
  6. Updating cash management spreadsheet with relevant information relating to personnel contracts

Payroll

  1. Manage the wage and salary portion of the company cash flow report.
  2. Prepare weekly paperwork for independent contractors to be submitted for payment.
  3. Distribution of all paychecks.
  4. Assist with Actors Equity contracts and payments.
  5. Maintain staff vacation records.
  6. Maintain current W9 records and contract files

Other Responsibilities

  1. Ordering all Stoneham Theatre supplies, including concession, cleaning and office supplies. (includes some pick ups to be done)
  2. Maintain and monitor postage meter – making sure there is adequate postage in the machine, and pulling monthly usage reports.
  3. Ensure that all printers and copiers have adequate supplies of toner etc.
  1. Contract management for Stoneham Theatre’s teaching artists, designers and non-union artistic personnel.
  2. Weekly maintenance for The Theatre’s box office ticketing software.
  1. Occasional shifts in box office, as necessary.

Qualifications

Attention to detail and strong bookkeeping skills a must. Flexibility, willingness to pitch in to help the organization, an interest in the arts and sense of humor welcome.
